Electrical wholesaler: four systems, four chances for a mistake every single order

Elektro Novak Ltd. used four different systems: an email client for customer orders, a CRM for contact management, an ERP for warehouse and invoicing, and Excel spreadsheets for weekly reporting. Every new order arrived by email, the assistant copied it into the CRM, the warehouse manager typed it into the ERP, and the warehouse supervisor entered it into the reporting spreadsheet. Four touch-points, four chances for a typo. Average time from order received to delivery note issued: four hours.

After process analysis, we designed an AI workflow: the AI automatically recognises an incoming order email, extracts structured data (customer, items, quantities, delivery address) and writes it in parallel to both the CRM and the ERP. The ERP automatically checks stock availability, creates the order and triggers picking. The reporting spreadsheet updates itself. The entire chain now takes 2 minutes with no human involvement.
